Library Resources - Interlibrary Loan FAQs

New Procures for obtaining a book via interlibrary loan.

Books, conference proceedings and dissertations are obtained via WorldCat. Remember we will not obtain an item we own or one published with in the past year or in high demand. Follow the steps below to place an interlibrary loan (ILL) request. This is a request only; we can not guarantee you will receive the item.

Search for the item using WorldCat

  1. Click the Books, Conference Proceedings & Dissertations link on the Interlibrary loan page
  2. Enter your search term(s) and select the type of search you wish to do
  3. To view the results click "View search results" link. Please note you will only see the first one hundred hits from your results. If you don't find what you are looking for in this set, then redefine your search terms.

Requesting an interlibrary loan item

  1. From the result pages find the item you are interested in requesting and click the link associated with the item (this is usually the authors name).
  2. Review the item's record to make sure this is the item you want. Be sure to look at the "Imprint Desc." field. This tells you the format of the item, i.e. large print, regular books, dvd, video, etc.
  3. When you have found the correct record of the item, click the "Request" button at the top of the page. (Hint: you may need to scroll to the right to see the button on some screens.)
  4. Enter your library barcode number and PIN (Personal Identification Number)
  5. Enter a need by date (remember it will take at least 2-3 weeks to obtain the book).
  6. Important information about Pickup location!! - In the Additional Comments box: Type in the name of the library you wish to pick the item up at, for example Summerlin. If you do not indicate a pickup location we will use your home library.
  7. You can track your ILL requests through your account. Click on "My Account" on the left side navigation bar on the library's homepage. Please be patient, as your request will only show once the ILL request has been 'acquired' by ILL staff. This will take 1-3 days after placing the request.

What is available through interlibrary loan?

  • Books, conference proceedings & dissertations older than one year
  • Photocopies of newspaper and magazine articles
  • Obituaries
  • Some reference and genealogical materials only if the lending library will lend them
  • Microfilm

What isn't available through interlibrary loan?

  • Best sellers and new books released within 12 months
  • Video and audio cassettes, sound recordings, and compact discs
  • All materials, including reference items, owned by libraries located within Clark County
  • Individual issues of magazines and newspapers

Who can use this service?

Any Las Vegas - Clark County Library District resident

  • with an unexpired, current library card
  • which shows no overdue items
  • and less than $10 in fines

may use the Library District's Interlibrary Loan service.

Borrowers who are not Library District residents should submit their requests directly to their own library. They may request ILL services from the Las Vegas - Clark County Library District, but they

  • will be charged a $25-per-item fee
  • must agree to pay any additional fees assessed by the lending institution
  • will be subject to the same eligibility requirements as residents (listed above)

How do I order the materials I want?

Requests for books are placed through WorldCat, Google or Yahoo. Requests for non-books materials are done by using the on-line forms located on the Interlibrary Loan page.

What do I do if I can not find the book in WorldCat?

If the item can not be found in WorldCat we suggest you verify the information you have with another source. Try searching for the item in Books In Print or at an online store like Amazon or Barnes & Nobles. If it is a new book, it is possible it has not been cataloged by a library in WorldCat. Most new books are not requestable through this system.

Are there any restrictions on photocopy requests?

The copyright law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted material.

Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specific conditions is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, or research." If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement.

The Library District reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would involve violation of copyright law.

How much will it cost?

There is no charge for borrowing materials through interlibrary loan for Library District residents.

Non-Library District residents will be a charged a non-refundable fee of $25-per-item and any additional fees assessed by the lending institution.

How many items can I request?

A borrower may have up to five (5) active requests at any given time.

("Active" means any request from the time the request form is submitted until the item borrowed is returned to the branch library.)

How long will it take?

The Interlibrary Loan office cannot promise to meet deadlines, so plan ahead. It can take up to six weeks to receive an item, depending on where the lending library is located and the method of shipment. Most libraries use the US Postal Service.

Some materials (genealogy, local history, reference, microfilm, rare items) may be difficult to obtain. Please allow extra time to receive these types of items.

How will I be notified when it arrives?

When the item arrives at the ILL office, it will be processed and forwarded to the pickup branch you indicated on the request form or if none indicated your home library. You will be contacted by email or U.S. mail to let you know it is waiting for you. Hint: if you supply an email address you will receive notification much faster.
If the ILL office is unable to obtain the requested item, you will receive an email or notice by mail stating why we could not get it.

Where do I pick it up and return it?

You can pick up the item at the branch library you indicated on the request form you filled out. We will always tell you where that is in the notification. Since our courier service may take several days to delivery an item from the central ILL processing center to your pickup location it is a good idea to call the pickup location to make sure the item has arrived.

Always return ILL material to the desk where you picked it up. Please leave the ILL label on the item and DO NOT RETURN IT IN THE BOOK RETURN.

How long can I keep the item?

The checkout period varies. It is determined by the lending library and can range from one week to one month.

Please make every effort to return the items by the due date. Overdue charges accrue on materials borrowed through interlibrary loan at the rate of $.25 per day.

Can I renew it?

Sometimes, depending on the restrictions imposed by the lending library. Among the limitations sometimes required by the lending library are "In library use only" and "no renewals."

If you need additional time, please contact the Interlibrary Loan office (at 702-507-3439) before the due date.

What happens if I damage or lose an item?

Our library is responsible for the safety of materials borrowed from other libraries and our privilege of borrowing from them is jeopardized if anything is damaged or lost.

You are responsible for damage/loss of the material which includes a processing fee. The Interlibrary Loan office let you know the exact charges.

Your borrowing privileges with the Las Vegas Clark County Library District will be suspended until all fees/charges are paid. Repeat offenders will loose their ILL privileges.

Unpaid balances are subject to referral to a collection agency. Should that happen, a $10 nonrefundable fee will be imposed in addition to the other charges..

What does the error message - "a problem occurred while processing your Z39 request" - mean?

If you owe more than $9.99 or have 5 active Interlibrary Loan requests, you will be blocked from requesting ILL materials. Please check your account by clicking on "My Account" or check with a circulation staff member.

How can I contact the Interlibrary Loan office?

The Interlibrary Loan office can be reached by phone at: 702-507-3439.

Normal office hours are 9:00 a.m. to 5:00 p.m. Monday through Friday. If the ILL staff is not in, you may leave a message with the reference librarian who answers the phone.
